Staff Vetting

Know who you hired. And that they are still cleared to do the work.

Identity and right to work, criminal record and sanctions, licences and certifications, and previous employers, run from one place instead of four suppliers and a spreadsheet. The checking carries on after the hire date, so a licence that lapses or a visa that expires raises a flag before it becomes your problem.

Ask Who is working today without a current check?

Pre-hire checks, one candidate

  • Identity and right to work documents and visa cleared
  • Criminal record and sanctions screening returned cleared
  • Licences and certifications one of two on file refer
  • Previous employers references returned cleared

Workforce, cleared to work

  • Cleared
  • In progress
  • Referred

Expiring, already hired

  • Contractor 4471 forklift licence renew
  • Contractor 2130 right to work renew
  • Employee 0884 first aid watch

Checks do not stop on the hire date. A licence that lapses raises a flag the day it does, not at the next audit.

Right now, checks happen once and then stop

Somebody verified all of it on the week they joined. Nothing has looked at it since, and nothing was ever going to.

  1. A folder, not a system

Certificates as PDFs in a shared drive, under four naming conventions, filed by whoever was free that week.

  2. Four suppliers and a spreadsheet

Identity from one, background from another, references from a third, and a tab that says which of them came back.

  3. Nobody re-checks

A licence confirmed at hire is assumed for the length of the employment, however long that turns out to be.

  4. Contractors sit outside all of it

The people with the least oversight are frequently the ones with the most access, and they never entered the process at all.

What your HR system and your ATS will not do

Both are doing their job. An applicant tracking system runs a hiring process and an HRIS holds a record of employment. Neither was built to keep watching after the offer was accepted.

  • They record that a check happened Which is a different thing from whether it is still true today.
  • Expiry is a date in a field nobody queries It will not raise its hand. Somebody has to think to go and look, and nobody does.
  • They do not watch a register A professional registration can lapse or be suspended and nothing in either system will notice.
  • The evidence is not assembled At diligence somebody spends a fortnight building a bundle out of a shared drive.

We integrate whichever ATS and HR system you run. This is the layer that keeps checking afterwards and holds the evidence in one place.

Ask it about your workforce

The question that has no good answer today, because answering it means opening a folder for every person in the business.

Ask Who is working today without a current check?

Four. Two contractors, and two whose registration lapsed this month.

  • Cleared and current
  • Expiring within 60 days
  • Lapsed
  • Never checked

Reminder set: contractor access review with the practice manager, Monday

What changes

The same checks you already pay for, run from one place, and then kept under review instead of filed.

  • Checked once, then watched

A registration that lapses or a visa that expires raises a flag before it becomes something you have to explain.

  • One place for a multi-site group

Every practice, site or region on the same standard, which is what makes an acquired business comparable to the rest of them.

  • Evidence on demand

The bundle an insurer, a regulator or a buyer asks for, assembled already rather than in the fortnight after they ask.

  • Contractors included

The same standard for people who never went through the hiring process, because access does not care how somebody was engaged.

Why this is a live exposure rather than a project

Everything above is true of your business today, not at some future renewal date. The only question is whether anybody has looked.

  • A lapsed check is a gap right now

Not at renewal, and not when somebody gets round to the audit. Today, on shift.

  • The insurer and the regulator ask the same question

And the answer they want is evidence, produced quickly, not an assurance that it is all in a folder.

  • A buyer samples the files

At exit, and anything found there is priced into the offer rather than raised as a query.

  • The first run is retrospective

It tells you the state of the workforce you have now, which is the part nobody currently knows.

Where to start

A two week audit. One document. No obligation.

Fixed scope, fixed price. It reads your systems and tells you what is wrong, what each fix costs, and what to do first. You keep the report either way.

Readiness assessment 2 weeks

What it turns up

  • Licences paid for and not used
  • Firewall rules nobody has reviewed since install
  • Administrator accounts with no owner
  • Reports built on a source that stopped updating
  • An integration failing quietly, nobody alerted

What it reads live

  • Licences, systems and what they cost waiting
  • Network, remote access and segmentation waiting
  • Cloud tenant, identity and admin rights waiting
  • Core systems and how they connect waiting
  • Reporting, data quality and access waiting

One document: what is wrong, what it costs to fix, and what to fix first.
